We will always keep your data safe and secure. This policy explains what information we collect about you and how we use it, whether you are a Pearl Boardroom community Member, an Attendee at one of our events, a newsletter subscriber, or simply a visitor to our website.
This privacy policy is owned and operated by Anastria Marketing Agency LTD t/a The Pearl Boardroom.
This policy complies with the General Data Protection Regulation (Regulation (EU) 2016/679) (‘GDPR’) and applicable Cyprus data protection law. We process your data securely and transparently.
For the personal data covered by this policy, The Pearl Boardroom acts as the Data Controller — we determine the purpose and means of processing data collected directly from our Members, Attendees, subscribers and website visitors.

2. Data protection principles
In relation to personal data, we will:
- process it fairly, lawfully and in a clear, transparent way;
- collect personal data only for specific and legitimate reasons;
- only use it in the way that we have told you about;
- ensure it is correct and up to date;
- keep your data for only as long as we require it;
- process it in a way designed to ensure it is not lost, destroyed or used for anything you are not aware of.
3. Types of data we collect
- Your name and contact details (email, phone, address) when you book an event ticket, join the Community, subscribe to our newsletter, or contact us;
- Booking and attendance details for our Events;
- Payment-related information for event tickets — this is processed by our third-party ticketing provider, Ticket Tailor; The Pearl Boardroom does not directly receive or store your card details;
- Payment-related information for membership fees, once membership is live — this is processed by our payment provider, Stripe; The Pearl Boardroom does not directly receive or store your card details;
- Your phone number and WhatsApp profile information, if you join our free WhatsApp community — this is visible to other members of the group and is processed by WhatsApp (Meta) under its own privacy policy;
- Community profile information you choose to share, once our Community platform is launched;
- Photographs and video taken at our Events;
- Newsletter sign-up details (first name and email address);
- Website usage data collected via cookies (see our Cookies Policy below).
4. How we collect your data
We collect data about you when you:
- book a ticket to a Pearl Boardroom Event via a third-party ticketing platform;
- complete a contact, sign-up or membership form on our website;
- interact with us on social media;
- attend an Event, including through photography or video taken there;
- subscribe to our newsletter;
- join our free WhatsApp community;
- in future, join and use our Community platform once launched.
Our ticketing partner shares your relevant booking details with us so that we can manage the Event and communicate with Attendees. Our website is overseen and managed by our web host/provider.
5. Marketing correspondence
If you subscribe to our newsletter via our website or social media, we will send you newsletter updates by email to share news about The Pearl Boardroom. This is the only marketing correspondence we send. To subscribe, we only ask for your first name and email address.
You can stop receiving marketing emails from us at any time by clicking unsubscribe on our mailing platform, or by emailing anastasia@anastria.com and telling us you wish to opt out.
6. Photography and media
As set out in our Terms and Conditions, we regularly take photographs and video at our Events for use on our website, social media and in our marketing. We do this on the basis of our legitimate interests in promoting The Pearl Boardroom, having weighed this against your rights. If you would prefer not to be photographed, please let a member of the team know on arrival so we can exclude you, and contact us at anastasia@anastria.com if you would like a specific image removed after the fact.

- to sell and manage tickets and admission to our Events;
- to operate the Community once it launches;
- to send newsletter updates, where you have subscribed;
- to improve our services and grow The Pearl Boardroom, which is in our legitimate interests; you can opt out of marketing at any time;
- to prevent and detect fraud against you or us.
8. Why we process your data
The Pearl Boardroom can only process your data for specific purposes permitted by GDPR and Cyprus data protection law:
- to perform a contract with you (for example, an Event ticket or a Community membership);
- to pursue our legitimate interests, such as running and improving our Events and Community, or photographing our Events for marketing purposes, where these do not override your rights;
- on the basis of your consent, for example for newsletter marketing;
- to comply with a legal obligation, where relevant.
9. If you do not provide your data to us
If you do not provide the data we need, we may not be able to process your Event booking, Community membership, or respond to your enquiry.
10. Sharing your data
We will never sell your personal data to any third party. We share data only where necessary to provide our services.
We may share your data with:
- our ticketing platform provider, Ticket Tailor;
- our payment provider, Stripe, for membership payments once membership is live;
- WhatsApp (Meta), if you choose to join our free WhatsApp community — other members of the group will also see your phone number and WhatsApp profile;
- our website host/provider;
- our future Community platform provider, once selected;
- professional advisors, where necessary to run The Pearl Boardroom;
- the police, or a regulatory or government authority, if legally required to investigate illegal activity.
Some of these providers — including Stripe and our website host — may process your data outside the European Economic Area, including in the United States. Where this happens, we require appropriate safeguards to be in place, such as the European Commission's Standard Contractual Clauses or a valid adequacy decision, so that your data continues to receive an equivalent level of protection.
11. Protecting your data
We take appropriate technical and organisational steps to protect your data against accidental loss, disclosure, destruction or misuse, including limiting access to those who need it, using appropriately secure systems, and requiring written agreements with any third party that processes data on our behalf.
The internet is not a completely secure method of communication, so we cannot guarantee the absolute security of information sent to us online, though we take great care to protect it.
12. How long we keep your data
We keep your data only for as long as necessary for the purpose it was collected. You can ask us to erase your data at any time, in writing where possible, and we conduct periodic reviews to delete data we no longer need.

No decision with a significant impact on you will ever be made about you solely on the basis of automated decision-making, without human involvement.

- The right to have your data deleted, where there is no reason for us to continue processing it.
- The right to restrict processing while accuracy or another issue is resolved.
- The right to data portability.
- The right to object to processing based on our legitimate interests.
- The right to withdraw consent at any time, without consequence, for anything we process on the basis of your consent.

We may amend this policy from time to time, while ensuring it continues to comply with GDPR and Cyprus law. We will post the most up-to-date version on our website and may announce material changes on our social media.
